Definitions
“Company” refers to Social Grapes, registered in [UK].
“Client” refers to the individual or organisation booking an event via tickets or requesting private planning services from the Company.
“Event” refers to any experience, retreat, dinner, tasting, corporate event or trip organised by the Company.
“Services” refers to planning, coordination, hosting, and related event services.
“Third-Party Suppliers” refers to transport providers, venues, accommodation, guides, caterers, wineries, and other partners.
Scope of Services
The Company provides curated event planning and hosting services, which may include travel outside of the UK. Unless expressly stated in writing, the Company does not act as a tour operator or travel agent, but as an event organiser coordinating third-party services.
General Tickets
We are unable to offer refunds of tickets. Requests for transferral of tickets can only be made once and a rebooking fee of £5 per ticket will apply. All requests must be made by email: info@wearesocialgrapes.com. If a request for transferring dates of tickets is made with less than 72 hours notice before start time of event – no transfer or refund will be available. Anybody that is absent to the booked event will not be refunded.
A booking is confirmed only once a ticket to an event is purchased
Private Bookings
The Company reserves the right to refuse bookings at its discretion.
A booking is confirmed only once:

Written confirmation is issued, and
-
The required deposit has been received if applicable
We take 70% of the total before a private/corporate event, to secure the booking. This payment will be non refundable. The remaining 30% will need to be paid upon final invoice post event. Should you wish to add on any additional people to the event this additional cost will be added to the final cost, and elements of the event/trip may vary pending additional requirements. Any decrease in people attending, we are unable to offer a refund for this.
If you needed to cancel the booking, we are unable to offer a refund, but we can try reschedule your event to a different date, once a rescheduling fee is paid.
Late payments may result in cancellation without refund.
All prices are quoted in currency shown including exchange rates applicable at time of estimate, unless otherwise stated.
Cancellations by the Client
Cancellation must be made in writing.
Unless otherwise agreed:

More than 60 days before the event: deposit retained

30–59 days before the event: 50% of total cost payable

Less than 30 days before the event: 100% of total cost payable
Refunds (if applicable) exclude non-recoverable third-party costs.
Cancellations or Changes by the Company
The Company reserves the right to amend or cancel an event due to circumstances beyond its control, including but not limited to:

Force majeure

Supplier failure
-
Safety concerns
In such cases, the Company will offer:

A suitable alternative, or
-
A refund of fees paid excluding non-refundable third-party costs
Travel
Clients are responsible for ensuring:

Valid passports (minimum 6 months validity recommended)

Visas, ETIAS (when applicable), and travel permissions unless agreed otherwise
-
Compliance with entry requirements to relevant country.
The Company is not responsible for denied entry, delays, or additional costs arising from immigration or border control issues.
Clients are strongly advised to obtain comprehensive travel insurance, including:

Medical cover

Cancellation
-
Personal liability
-
Alcohol-related incidents (if applicable)
Accommodation & Transport
Accommodation and transport may be arranged via third-party suppliers.
The Company is not liable for:
Supplier insolvency
Delays, strikes, or service disruptions
Any issues should be raised immediately so reasonable assistance can be provided.
Health & Safety & Conduct
Clients must disclose relevant medical conditions or dietary requirements prior to the event.
Clients participate at their own risk.
The Company reserves the right to remove any participant whose behaviour is unsafe, disruptive, or unlawful, without refund.
Alcohol consumption is the responsibility of the participant.
Liability
The Company’s liability is limited to the total amount paid for the Services.
The Company is not liable for:
Injury, illness, loss, or damage caused by third parties
Loss of personal belongings
Acts of force majeure
Nothing in these terms excludes liability for death or personal injury caused by negligence, where prohibited by law.
Insurance
The Company maintains appropriate public liability insurance.
This does not replace the Client’s obligation to obtain personal travel insurance.
Wine Tastings & Alcohol Consumption
Events organised by Social Grapes may include wine tastings and the consumption of alcohol.
Participation in wine tastings is entirely voluntary. Clients are under no obligation to consume alcohol.
Clients confirm they are of legal drinking age in the country where the event takes place.
Clients are responsible for consuming alcohol responsibly and within their personal limits.
The Company does not encourage excessive drinking and may refuse service to any participant who appears intoxicated.
The Company accepts no liability for incidents, injury, loss, or damage arising from alcohol consumption.
Clients are advised to arrange appropriate transport and to avoid driving or operating machinery after consuming alcohol.
Any health conditions, medication, pregnancy, or other circumstances that may be affected by alcohol consumption should be disclosed to the Company in advance.
Where tastings take place at wineries or partner venues, the house rules and local laws of those venues apply.
Workouts
Certain events organised by Social Grapes may include workouts, fitness sessions, yoga, walking tours, or other physical activities.
Participation in all physical activities is entirely voluntary and undertaken at the participant’s own risk.
Clients confirm that they are in good physical health and have no medical conditions that would prevent them from safely participating, or that they have sought medical advice prior to taking part.
Clients must disclose any relevant injuries, medical conditions, or physical limitations to the Company in advance of the event.
The Company does not provide medical advice and is not responsible for assessing fitness levels.
Clients agree to follow all instructions given by instructors, hosts, or third-party professionals.
The Company accepts no liability for injury, illness, or loss arising from participation in physical activities, except where caused by proven negligence.
Appropriate clothing, footwear, and equipment must be worn at all times.
The Company reserves the right to exclude any participant from a workout or activity where participation may pose a risk to themselves or others, without refund.
Photography & Video
All events will be captured by our media team via photography and/or video. These will be to use on our social media, website and other promotional purposes including our collaborators & third party partners. If you do not wish to be in any of the photos just let a member of our team know on the day and we will make sure not to feature you. All rights and usage will be owned by Social Grapes.
Data Protection (GDPR)
Personal data is processed in accordance with GDPR and applicable EU data protection laws.
Data is used solely for event administration, communication, and legal compliance.
Force Majeure
The Company shall not be liable for failure to perform due to events beyond reasonable control, including but not limited to natural disasters, pandemics, government restrictions, or transport disruptions.
Governing Law & Jurisdiction
These Terms & Conditions are governed by the laws of The UK.
Acceptance
By booking an event with the Company, the Client confirms they have read, understood, and accepted these Terms & Conditions.
