1. Definitions

“Company” refers to Social Grapes (registered in the UK, trading under Philippa Catherine Ltd).
“Client” refers to any individual or organisation purchasing tickets or booking private services.
“Event” refers to any gathering, retreat, tasting, dinner, movement session, corporate event or experience organised by the Company.
“Services” refers to planning, coordination, hosting and related event delivery.
“Third-Party Suppliers” refers to venues, accommodation providers, transport operators, instructors, caterers, wineries and other partners.

 

2. Scope of Services

Social Grapes curates and hosts premium event experiences.

Where applicable, the Company coordinates third-party suppliers but does not act as a tour operator or travel agent unless expressly agreed in writing.

Ticketed Events

3. Bookings

A booking is confirmed once full payment has been received and a confirmation has been issued.

All wine-led events are strictly 18+. Valid identification may be required.

 

4. Refunds & Transfers

Tickets are non-refundable.

A ticket may be transferred once, subject to availability and a £5 administration fee per ticket. Transfer requests must be submitted in writing to:

Transfers requested within 72 hours of the event start time cannot be accommodated.

Failure to attend an event does not entitle the Client to a refund.

Private & Corporate Bookings

 

5. Confirmation & Payment

Private bookings are confirmed only once:

  • Written confirmation has been issued, and

  • The agreed deposit has been received.

Unless otherwise agreed, 70% of the total event cost is payable in advance to secure the booking. This payment is non-refundable.

The remaining balance is payable upon final invoice following the event.

All prices are exclusive of VAT unless otherwise stated.

 

6. Amendments

Increases in guest numbers may result in additional costs.

Reductions in guest numbers do not entitle the Client to a refund, as supplier commitments will have been secured in advance.

 

7. Client Cancellation

All cancellations must be made in writing.

Unless otherwise agreed:

  • More than 60 days prior: Deposit retained

  • 30–59 days prior: 50% of total cost payable

  • Less than 30 days prior: 100% payable

Refunds, where applicable, exclude non-recoverable third-party costs.

Rescheduling may be offered at the Company’s discretion and may incur an administration fee.

 

8. Company Cancellation or Amendment

The Company reserves the right to amend or cancel events due to circumstances beyond reasonable control, including:

  • Force majeure

  • Supplier failure

  • Safety considerations

In such cases, the Company will offer either:

  • A suitable alternative, or

  • A refund of fees paid, excluding non-refundable third-party costs.

Travel, Retreats & International Events

Clients are responsible for:

  • Valid passports

  • Visas, ETIAS (when applicable)

  • Compliance with all entry requirements

The Company is not responsible for denied entry, border control delays, or associated costs.

Comprehensive travel insurance is strongly recommended, including medical cover, cancellation and personal liability.

9. Health, Safety & Conduct

Clients participate in all events at their own risk.

Any medical conditions, injuries or dietary requirements must be disclosed in advance.

The Company reserves the right to remove any participant whose behaviour is unsafe, disruptive or unlawful. No refund will be issued in such cases.

 

10. Wine Tastings & Alcohol

Participation in wine tastings is voluntary.

Clients confirm they are of legal drinking age and agree to consume alcohol responsibly.

The Company may refuse service to any participant who appears intoxicated.

The Company accepts no liability for incidents arising from alcohol consumption.

Guests are advised not to drive or operate machinery after consuming alcohol.

 

11. Movement & Physical Activity

Some events include movement-based activities.

Participation is voluntary and undertaken at the Client’s own risk.

Clients confirm they are medically fit to participate or have sought appropriate medical advice.

The Company is not responsible for injury or loss arising from participation, except where caused by proven negligence.

 

12. Photography & Media

Photography and video may be captured at events for promotional use across Social Grapes platforms and partner channels.

Clients who do not wish to be featured must notify the team on arrival.

All media remains the property of Social Grapes.

13. Liability

The Company’s liability is limited to the total amount paid for the Services.

The Company is not liable for:

  • Injury or loss caused by third parties

  • Loss of personal belongings

  • Force majeure events

Nothing excludes liability for death or personal injury caused by negligence where prohibited by law.

 

14. Data Protection

Personal data is processed in accordance with GDPR and applicable UK data protection laws and used solely for administration and communication purposes.

 

15. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

 

16. Acceptance

By booking an event, the Client confirms they have read, understood and accepted these Terms & Conditions.
